Adams & Martin Group is partnering with a respected law firm to identify an Office Coordinator for its Orange County office. This position plays a critical role in ensuring the smooth day-to-day operations of the office while providing exceptional service to attorneys, staff, clients, and visitors. The ideal candidate is organized, proactive, service-oriented, and capable of managing multiple priorities in a fast-paced professional environment.
Responsibilities
- Serve as a primary point of contact for firm personnel, building management, vendors, and visitors.
- Greet clients and guests, coordinate visitor check-in procedures, and assist with conference room logistics.
- Answer and direct incoming calls while providing professional customer service.
- Coordinate office events, meetings, firm functions, and hospitality services.
- Schedule conference rooms, manage meeting logistics, and oversee catering arrangements.
- Build and maintain strong vendor relationships, manage invoices, and coordinate service providers.
- Draft correspondence, reports, and internal communications.
- Maintain office calendars, distribution lists, phone directories, and office records.
- Partner with Facilities, IT, and other departments to resolve office-related issues.
- Coordinate parking administration, office maintenance requests, and emergency preparedness initiatives.
- Support attorneys and staff with administrative tasks, including travel arrangements, calendar management, time entry, and data entry.
- Foster a positive office environment while maintaining the highest level of professionalism and confidentiality.
Qualifications
- High school diploma required; additional education is a plus.
- 1-3 years of administrative, office coordination, or professional services experience.
- Law firm or professional services experience strongly preferred.
- Strong proficiency with Microsoft Word and Excel.
- Excellent written and verbal communication skills.
- Outstanding organizational skills and attention to detail.
- Ability to manage competing priorities and work effectively under pressure.
- Strong problem-solving, customer service, and interpersonal skills.
- Ability to exercise sound judgment and maintain confidentiality.
